Our challenge was to empower the Titan Motion team with a centralized platform that could handle the complexities of a premium, multi-location fitness business. We designed TitanOS from the ground up to be a powerful yet intuitive tool. The focus was on creating a seamless user experience for staff, providing clear data visualization for management, and building a scalable foundation to support the company's future growth.

We designed TitanOS from the ground up to be a powerful yet intuitive tool. The focus was on creating a seamless user experience for staff, providing clear data visualization for management, and building a scalable foundation to support the company's future growth.

Titan Motion, a premier chain of fitness centers, aimed to replace their fragmented system of spreadsheets with a powerful, custom-built management platform. They needed a unified solution to handle member data, track sales of premium services, and provide clear, real-time analytics for their multi-location business.

As Titan Motion expanded, their reliance on disconnected spreadsheets created significant operational bottlenecks. Data was inconsistent, tracking member retention and upsells was nearly impossible, and the front-desk staff wasted valuable time on manual administrative tasks. They needed a centralized system that could scale with their growth and empower their team.<

Our solution was a bespoke, end-to-end CRM platform engineered to centralize every facet of a premium, multi-location fitness business. We focused on three core pillars to transform their operational complexity into a streamlined, powerful, and scalable ecosystem:

We designed a centralized dashboard that serves as the single source of truth for gym management. This unified interface brings together member administration, class scheduling across all locations, instructor management, and billing cycles into one intuitive workspace, drastically reducing administrative overhead and eliminating data silos.

Seamless Member Journey
Understanding that member retention is key, we placed a heavy emphasis on the end-user experience. This included designing a frictionless mobile-first booking system, personalized member profiles with progress tracking, and an integrated loyalty & rewards module. Every touchpoint was crafted to be intuitive, engaging, and reflective of the client's premium brand identity.

Actionable Business Intelligence
TitanOS was built not just to store data, but to provide actionable insights. We developed custom analytics dashboards that visualize key business metrics in real-time, such as class attendance trends, peak hours, membership renewal rates, and instructor performance. This empowers management to make informed, data-driven decisions to optimize operations and drive revenue growth.

Designing the Gateway

We believe a login screen is the primary gateway to a product, not just a form. We therefore designed a strategic two-panel layout: the left side reinforces the premium, aspirational brand identity through powerful imagery, while the right side is dedicated to pure functionality for quick, distraction-free access.

To minimize user friction, a "Sign in with Google" option was integrated as a strategic priority, acknowledging that the client's staff and their members predominantly use the Google ecosystem. This attention to user context, combined with strict visual consistency, results in a login page that is not only secure and professional, but consistently reinforces the premium value of the TitanOS brand.

Empowering Decisions with a Financial Command Center

For any multi-location business, a clear, real-time view of financial health is critical. We designed the Sales Overview dashboard to act as the financial command center for the client's leadership team. It moves them beyond fragmented spreadsheets and guesswork into a live, interactive environment where key performance indicators are visible at a glance.

The dashboard provides a hierarchical view of revenue, breaking it down from total earnings to specific streams like Membership Revenue versus Premium Service Revenue (e.g., Personal Training, Nutrition Plans).

A crucial module is the Renewal Rate tracker, which not only displays the primary indicator of customer loyalty but also sets clear, actionable targets for the team. With trend charts that can be filtered by location and time period, management can instantly analyze and compare performance across different branches.

Understanding the sensitive nature of this data, access to the Sales Overview page is strictly controlled. Through the admin portal, user permissions can be configured to ensure only specific groups — such as owners and general managers—can view these financial metrics, guaranteeing security and confidentiality across the organization.

At the heart of any successful fitness business are its members. We understood that tracking member information through disconnected spreadsheets makes personalized service impossible at scale. The Member Management hub was designed to solve this, providing a single, dynamic, and searchable view of the entire member community.

The dashboard immediately presents the lifeblood metrics of the business — Active Members, New Sign-ups, and Membership Renewals — with real-time updates. The central feature is a comprehensive member list providing critical information at a glance. Staff can instantly identify a member's status with color-coded Membership Tiers and view their loyalty status through the integrated Titan Rewards program. This enables personalized recognition, while the Last Check-in data offers a powerful tool to identify and re-engage members at risk of churning.

This screen is more than just a list; it’s an active management tool. Staff can seamlessly onboard new members or export data for custom reports with a single click. By centralizing this information, the Member Management hub empowers the entire team to provide a more personalized, attentive service that fosters loyalty and builds a stronger community.


Orchestrating Operations with the Command Calendar

For a dynamic business like a premium fitness center, scheduling is everything. We designed the TitanOS Calendar to be more than just a booking tool; it's the visual command center for the entire operation. It replaces the chaos of disconnected spreadsheets and paper schedules with a single, unified hub for all time-based activities, from member-facing classes to internal operational tasks.

The interface provides clarity at a glance. Managers can schedule a wide range of events, including recurring classes, special workshops, and crucial operational tasks. The use of color-coding for different event categories allows staff to instantly understand the day's priorities. With intuitive controls to add new events or export schedules, daily and weekly planning becomes a fast and streamlined process.

This centralized approach has a direct impact on the business. It prevents resource conflicts like double-booking a studio, improves internal coordination, and ultimately enhances the member experience by ensuring a well-organized and reliable schedule. The TitanOS Calendar transforms scheduling from a daily challenge into a tool for achieving operational excellence.
